Welcome to the Saudi HPC/AI Conference website. These Terms and Conditions govern your access to and use of this website, including its content, registration services, forms and other features.
The Saudi HPC/AI Conference is organized by King Abdullah University of Science and Technology (KAUST), referred to in these Terms as “KAUST,” the “Organizer,” “we,” “us” or “our.”
By accessing this website, submitting information or registering for the Saudi HPC/AI Conference, you acknowledge that you have read and agreed to these Terms and Conditions. If you do not agree with these Terms, please do not use the website.
1. Website Purpose
This website provides information about the Saudi HPC/AI Conference, including its program, speakers, workshops, sponsors, exhibitors, competitions, registration opportunities and related activities.
The website may also allow users to register for the Conference, submit proposals, apply to participate in specific activities, request information or communicate with the organizing team.
2. Eligibility
You must provide accurate, complete and current information when using registration forms, application forms or other interactive features of the website.
If you submit information on behalf of an organization or another person, you confirm that you are authorized to do so.
Participants under the age of 18 may be required to obtain authorization from a parent or legal guardian. Additional eligibility requirements may apply to workshops, competitions, hackathons and other Conference activities.
3. Registration
Submitting a registration form does not guarantee admission to the Conference or to a particular session, workshop or activity. Registration is confirmed only when you receive an official confirmation from the Organizer.
Registration may be subject to capacity limitations, eligibility requirements, deadlines and additional conditions communicated during the registration process.
You are responsible for ensuring that the information in your registration is correct. Please contact the Organizer promptly if any information needs to be updated.
Registration badges, tickets or access credentials are personal and may not be transferred to another person without the Organizer’s prior approval.
4. Fees and Payments
Where registration fees or other charges apply, the applicable price, taxes, payment conditions and available payment methods will be displayed during the registration or purchasing process.
Payments may be processed by an authorized third-party payment provider. The Organizer does not normally receive or store complete payment-card information.
Any applicable refund, cancellation, credit or registration-transfer conditions will be communicated during the relevant registration or purchasing process. Those specific conditions will form part of these Terms.
5. Conference Changes and Cancellation
The Organizer may modify the Conference program, schedule, speakers, sessions, venue, delivery format or other arrangements when reasonably necessary.
Speakers, sessions and activities are subject to change without notice. The Organizer does not guarantee the attendance of any particular speaker or exhibitor.
If the Conference or part of it is postponed, relocated, moved online or cancelled, any available refund, credit or transfer will be handled according to the conditions communicated to affected participants.
Unless required by applicable law, the Organizer is not responsible for travel, accommodation, visa, transportation or other expenses incurred by participants.
6. Travel and Entry Requirements
Participants are responsible for arranging their own travel, accommodation, insurance, visas and entry permissions.
An invitation letter issued in connection with the Conference supports a participant’s application only. It does not guarantee that a visa or entry authorization will be approved by the relevant authorities.
7. Participant Conduct
All participants are expected to behave professionally and respectfully during the Conference and its related activities.
Harassment, discrimination, intimidation, abusive conduct, disruption of sessions, unauthorized commercial activity and any unlawful behaviour are prohibited.
The Organizer may refuse admission or remove a participant whose conduct threatens the safety, rights or experience of others or violates these Terms, applicable law or venue policies. Where permitted by law, removal for misconduct may occur without a refund.
8. Presentations, Proposals and Other Submissions
If you submit an abstract, proposal, presentation, biography, photograph, video, project description or other material, you confirm that:
- The information you provide is accurate.
- You own the material or have permission to submit and use it.
- The material does not infringe intellectual property, confidentiality, privacy or other rights.
- The material does not contain unlawful, misleading, defamatory or harmful content.
You authorize the Organizer to review, reproduce and share the submitted material as reasonably necessary to evaluate your submission and administer the Conference.
If your submission is accepted, you authorize the Organizer to publish relevant information, such as your name, professional biography, photograph, presentation title and abstract, through the website, Conference program and promotional materials.
Additional rules may apply to technical sessions, workshops, competitions, poster presentations and hackathons. If those rules conflict with these general Terms, the activity-specific rules will apply to that activity.
9. Photography and Recordings
Photography, audio recording and video recording may take place during the Conference for documentation, communication, educational and promotional purposes.
By attending areas where recording is taking place, you acknowledge that your image or voice may appear incidentally in Conference materials, subject to applicable law.
When practical, participants who do not wish to appear in identifiable photographs or recordings should notify the organizing team or event staff. Separate consent may be requested for interviews, testimonials or featured recordings.
10. Intellectual Property
Unless otherwise stated, the website and its original content, visual identity, graphics, photographs, videos, logos, layouts and downloadable materials are owned by or licensed to the Organizer and are protected by applicable intellectual property laws.
You may view and download publicly available content for personal, educational and non-commercial use, provided that you do not remove copyright or ownership notices.
You may not reproduce, republish, modify, distribute, sell, license or commercially exploit website content without prior written authorization from the relevant rights holder.
Speaker presentations and third-party materials remain the property of their respective owners and may be subject to additional restrictions.
